AI, inside Sinapsis

Not a chatbot bolted on. Part of the app.

The AI in Sinapsis works with your academy's own data and your own rules, from inside the screens your team already uses. No copy-pasting into another tool, no data leaving the installation to be useful.

What it does

Two jobs, done well.

The assistant

Ask in plain words from any screen: which teachers are free, where a student fits, what a group looks like, whether a change would break a rule. It answers in seconds, with names, and tells you which rule would be affected.

Which teachers are free on Tuesday T1 for Y10 Maths?Where does a student from St. Mary's fit?Would adding Ana to this group break a rule?Which groups still have places this week?
Which teachers are free on Tuesday T1 for Y10 Maths?

Two teachers fit, both free on Tuesday T1:

  • Laura · Y10 Maths, CIE and Edexcel · Room 3 available
  • Marc · Maths reserve · would need Room 1

Warning: Marc has a private lesson at T2 (rule G9).

Only what you can see. No family data.

Report drafting

At report time, the AI turns the teacher's notes, the evidence gathered in class and the attendance into a first draft of the comment, in your academy's tone. The teacher edits, approves and signs. Nothing reaches a family without a person.

How it is integrated

Tools, not tables.

The AI never touches the database directly. It can only call a short list of read-only functions, and each one runs with the session of the person asking. The same permissions that apply in the app apply to the assistant.

  1. You askFrom the search bar or the assistant panel, as you would ask a colleague.
  2. Sinapsis checks who you areYour organisation account and your role decide what can be looked at. The AI inherits exactly that.
  3. The AI uses toolsA fixed set of read-only functions: groups, teachers, rooms, rules. It cannot write, delete or browse tables.
  4. You get names, not data dumpsThe answer is built from what those functions return. Writing anything still happens in the app, by a person, with the rule engine.
What it never sees

Built for children's data.

What it never sees

  • ×Family contact details: emails, phones, addresses.
  • ×Payments, invoices and anything about money.
  • ×Private notes and anything outside the user's own permissions.
  • ×Other academies: every client has its own installation.

What it sees

  • ✓Exactly what the person asking can already see on screen.
  • ✓For report drafting, only the minimum: the student's first name as a placeholder, the teacher's notes, evidence and attendance. Emails and phone numbers are stripped before anything is sent.
Guardrails

Measured, capped, on record.

  • Every query is loggedWho asked, when, which module and what it cost. Administrators see the spend per module.
  • A daily capEach installation has a daily limit. If it is reached, the assistant waits until tomorrow; the app does not.
  • Always a draftThe AI proposes. A person decides, edits and signs. Reports carry the teacher's signature, not the AI's.
  • A provider under contractThe AI provider works under a data processing agreement, does not train on your data and keeps requests only as long as needed to answer.
